Can I take all my data out of Acavya?
Yes: you can export your institute’s data at any time, in open formats such as CSV and PDF, at no charge, and the export is never held back, even if you stop using Acavya.

What can I export?
- Students, guardians, staff and their records, including documents you uploaded, in the original files.
- Fee structures, invoices, receipts, refunds and payments, with the ledger entries behind them.
- Attendance, marks, report cards and certificates.
- Reports as spreadsheets or PDFs, and accounting vouchers as Tally XML or Zoho Books CSV.
- A single-student export for a parent’s or student’s access request under DPDP.
What does it cost?
Nothing. Data export is on the list of things we never charge for, along with extra users, extra modules, updates and WhatsApp support.
Is the full export available now?
Yes. Reports, accounting exports, single-student exports and the self-serve full export are available now. If you would like help with a complete export, ask us.
What happens to my data if I leave?
Under our data processing agreement we return or delete your data at the end of the contract, and nothing is used for our own purposes in the meantime. After a trial that does not convert, your trial data is kept for 60 days and then removed. Retention that the law requires, such as tax records, is handled with you through legal holds.
What is not in an export?
Full Aadhaar numbers, because we never store them (only the last four digits and a keyed hash). Passwords and security keys, for your safety. Internal system logs that are not your records.
Do I need to ask permission to export?
No. Authorised owners and admins can start an export themselves; it is recorded in the audit log.
Can I move from another ERP to Acavya?
Yes. A generic importer with column mapping, known-format mappers and assisted migration (free on yearly Growth and above and for design partners on any plan, otherwise ₹1,999) help you move in.
