The basics

What is Acavya?

Acavya is one system for schools on any board or curriculum, coaching centres and tutors: admissions, fees, attendance, timetable, exams, communication, live classes, HR, transport and compliance, with AI tools that people approve.

Is it for schools, coaching centres or both?

Both, and for individual tutors too. Schools of 100 to 1,500 students and coaching centres of 20 to 1,000 students are the focus, tutors with up to 30 students use the Free plan, and one owner can run a school and a coaching institute under one account.

Which boards and classes does it support?

CBSE, ICSE, state boards, IB, Cambridge or your own curriculum, from Nursery to Class 12, with grading rules set for your board (the CBSE and Holistic Progress Card formats are built in), plus coaching programmes for foundation, boards, JEE, NEET, CUET and government exams. Institutes outside India can use it in English, with fees in Indian rupees and times in Indian Standard Time.

Is it available today?

Yes. Every module is available now, and you can sign up and set up your own institute yourself. WhatsApp, SMS, online fee payments and AI work once their provider is configured for your institute, and the few items not built yet are marked “Planned” on their feature pages.

Does it work in Hindi?

Yes. Screens, parent messages, notices and report cards are available in Hindi and English, and support is offered in both.

Is it a website or an app?

Both. The web app can be installed on a phone or PC, there is an Android app for every role, and parents also get WhatsApp. An iOS App Store listing and a Windows desktop app are planned.

Pricing and billing

How much does it cost?

One flat yearly price by size: ₹4,999 up to 150 students, ₹9,999 up to 400, ₹14,999 up to 800, ₹29,999 up to 1,500 and ₹49,999 up to 3,000, excluding GST, with every feature included. See pricing.

Is there a free plan?

Yes, for tutors and small classes with up to 30 students in 1 branch, with no card needed. Bigger institutes get a 30-day free trial of every feature, setting up their own institute with an optional sample setup to explore, then a paid plan.

Do you charge per student?

You choose: a flat plan is one price for the band your peak active students fall in, with no per-student fees. Pay as you go is ₹5 per active student a month (minimum ₹199), billed monthly. Neither has add-on modules.

Who counts as a student?

Anyone enrolled and not withdrawn, counted once across branches. Your plan follows your peak active students, and if you grow past your band we propose the next plan after 2 months in a row and you pay only the difference.

Is GST extra?

Yes. All prices exclude 18% GST, which is added and shown separately on your invoice.

What does WhatsApp and SMS messaging cost?

Messaging is charged at cost + up to 10% handling, or 0% markup if the institute connects its own WhatsApp Business account. It is paid from a prepaid wallet.

Is there an early-adopter discount?

Institutes that pay before 30 Jun 2027 on any plan up to Scale keep their price for 3 years (Enterprise founding terms are agreed with our sales team, with a lock of up to 24 months). The first 20 design partners also get 50% off year 1, keep the same list price in year 2 and get free assisted migration, and a 2-year prepay takes a further 10% off; see the design-partner programme.

Do you charge extra for staff users, parent users or modules?

No. Extra users, modules, updates, data export and WhatsApp support are never charged separately.

Do you take a commission on the fees I collect?

No. Fees settle directly into your bank account and we do not hold them. Payment gateways charge their own fees, which are disclosed.

Using Acavya every day

Does it work without internet or in a power cut?

The fee counter (cash and cheque), attendance and marks entry are designed to work offline and sync later, on phones and older office PCs. Online payments and live classes need a connection.

How long does setup take?

Our target is a first receipt and first attendance within 48 hours of signing up. A typical first week covers sign-up, import, fee structures, staff training and parent onboarding.

Can I import my Excel sheets and registers?

Yes. An import wizard maps your columns with AI assistance, converts Kruti Dev text, gives you an error file and lets you undo an import. Assisted migration is free on yearly Growth and above (and on any plan for design partners), otherwise ₹1,999.

Can parents use WhatsApp instead of an app?

Yes. Notices, dues, payment links, receipts, attendance and results reach parents on WhatsApp, and common requests work through links. The app is optional.

Can I use my own Zoom, Google Meet or Teams for online classes?

Yes, free and unlimited, with attendance import. The built-in live classroom is optional and includes a monthly pool of student-hours; beyond it ₹0.50 per student-hour.

Can I print receipts on my existing printer?

Yes. Thermal, A5 and A4 printers and dot-matrix printers on pre-printed stationery are supported.

Does it work with Tally and Zoho Books?

Yes. You can export vouchers and ledgers as Tally XML and a CSV for Zoho Books. A live push through a Windows desktop bridge is planned.

Can a parent see their children in a school and a coaching centre in one app?

Yes. A parent’s school and coaching memberships are linked only when the parent confirms, and siblings share one login.

AI features

What does AI do in Acavya?

It drafts question papers, remarks, parent summaries and reconciliation matches, answers common admission questions, and gives students hints-first doubt help. It runs on free models and is never charged; connect your own AI key for unlimited use.

Will AI change marks or student records by itself?

No. A person approves anything that affects a student record. AI never writes marks or certificates on its own.

Is my students’ data sent to AI companies?

Only redacted text is sent: names, phone numbers, emails, Aadhaar-like numbers and addresses are replaced with tokens first. Images of identity documents are never sent to providers that may keep or train on inputs.

Can I switch AI off?

Yes. AI features can be switched off for your institute, and each one has a non-AI fallback.

Does AI work well in Hindi and for maths?

We test quality with Hindi and maths samples before enabling a feature, and teachers review the drafts. AI quality in Hindi and for maths is something we measure rather than assume.

Data, security and compliance

Where is my data stored?

The primary database uses Azure; private Cloudflare R2 is selected for documents, without an India-only file storage guarantee. Messaging, payment and optional AI services have their own processing locations. See security.

Who owns my data?

You do. Your institute is the data fiduciary and Acavya is your data processor, acting only on your instructions under a data processing agreement.

Will Acavya use my student list to promote its own classes?

No. Our No-Poach and Data Ownership Pledge and the data processing agreement both forbid it.

Can Acavya staff see my data?

Only through break-glass access: a stated reason, time-limited, logged, and notified to your institute.

Can I export all my data?

Yes, at any time, in open formats and at no charge. See data export.

Is Acavya DPDP compliant?

No product can be certified for DPDP, because no such certification exists. Acavya is built to help you meet the Act and Rules; see DPDP readiness.

When do the DPDP rules start applying?

Most obligations start on 13 May 2027, including verifiable parental consent for under-18s and a detailed breach report within 72 hours.

Does Acavya handle parental consent for children?

It captures consent at admission, verifies the consenting parent, records which route was used and alerts you when a student turns 18.

Do you store Aadhaar numbers?

Never in full. Only the last four digits and a keyed hash are stored, and Aadhaar images are never sent to an AI model.

Can it upload to UDISE+, APAAR or CBSE automatically?

No. These portals have no public API for private software, so Acavya gives you the exact file and a checklist to upload or check. We never scrape them.

Does it help with coaching regulations such as refunds and age limits?

Yes. Versioned rule packs cover the age gate, refund calculator with a 10-day timer, the 5-hour daily cap and registration display. Rule packs show as unverified until a lawyer confirms them for your state.

Support, partners and leaving

What support do you offer?

WhatsApp-first support in Hindi and English, Monday to Saturday, 9 am to 7 pm IST, with extended hours in April and on result days.

How do I join the design-partner programme?

Request a demo and mention the programme. The first 20 institutes (10 schools, 10 coaching centres) get 50% off in year 1. See the programme page.

Can I become a reseller or partner?

Yes. Partners earn 30% recurring commission in year 1 and 10% after on the institutes they refer. See partners.

What happens to my data if I stop using Acavya?

You can export everything first. After a trial that does not convert, data is kept for 60 days and then removed; at the end of a paid contract we return or delete data under the data processing agreement.

Who is behind Acavya?

Acavya is provided by Acavya Ventures, the trade name of ACAVYA, a sole proprietorship registered in India (Udyam registration UDYAM-UP-38-0103995), founder-led, in Uttar Pradesh, India. Write to us at contact@acavya.com, and see the about page.
