How do you compare school ERP pricing honestly?
Compare the total yearly cost for your own student count, including licence, messaging, extra modules and users, payment charges, migration, training and the cost of leaving, rather than the headline price.

Quick answer: headline prices are not comparable. Some vendors charge a flat band, some per student, some per module, and many add charges for SMS and WhatsApp, extra users, a branded parent app, data migration, training and data export. Industry guides report typical school ERP prices in a wide range of roughly ₹50 to ₹300 per student per year (reported industry ranges as researched Oct 2026, verify before relying on them), with some flat-band products cheaper for large schools. The honest method is a total-cost table: one row per cost line, one column per vendor, filled for your student count and your messaging volume, over one year and over three. Ask for each line in writing. We follow the same rule on our own pricing: we publish prices, avoid superlative claims and show worked prices.
Why is the headline price a poor guide?
- Different units. Per student, per branch, per module and flat bands are not directly comparable until you apply them to your numbers.
- Different inclusions. One product may include the parent app, SMS, accounting and exports; another may sell each as an add-on.
- Different tiers. Crossing a band edge can raise the whole bill, or just the extra students.
- Pass-through versus markup. Messaging may be charged at cost or with a markup that is not stated.
- One-time versus recurring. Setup, migration and training fees sit outside the annual figure.
- Lock-in. A cheap year one can cost more later if leaving is hard.
What is the total-cost checklist?
| Cost line | Question to ask | Where it hides |
|---|---|---|
| Licence | Per student, per branch or flat? What are the bands and what happens at an edge? | Bands and minimum bills |
| Minimum bill | Is there a minimum number of students or a minimum amount? | Small institutes |
| Messaging (WhatsApp, SMS, voice) | Who pays, at what rate, with what markup, and can I use my own account? | Add-on bundles and credit packs |
| Modules and users | Are fees, attendance, exams, transport, accounting and AI all included? Are staff and parent users free? | Module walls and per-user charges |
| Parent app | Is a branded app extra? Is the white-label fee one-time or yearly? | Branded app add-ons |
| Payments | Is there a commission on online fees? Do funds settle to my bank directly? | Percentage charges, settlement delays |
| Taxes | Are prices shown with or without 18% GST? Can I claim input credit (coaching centres can, schools cannot)? | GST at invoice |
| Migration and setup | Is import of existing data free or paid? How many hours of help? | One-time fees |
| Training and support | Is support included, in Hindi, on result day and in April? | Premium support plans |
| Live classes or storage | Are live hours, recordings and storage capped? | Caps and extra charges |
| AI features | Are AI features included, and who pays for AI usage? | Extra AI charges |
| Renewal | What is the renewal increase, and for how many years is the price fixed? | Annual price rises |
| Exit | Can I export all data, free, in open formats, at any time? | Export fees and lock-in |
How do you build a fair comparison table?
Building a fair ERP cost comparison
Step 1: write down your numbers
Count students (and how many use live classes if any), staff users, branches and the monthly messages you send, by type.
Step 2: ask every vendor the same questions
Send the checklist above and ask for a written quote for your numbers, with GST shown.
Step 3: fill the table
One row per cost line, one column per vendor; for unknowns write "not stated" rather than zero.
Step 4: compute year one and year three
Include setup in year one; apply renewal increases and likely student growth.
Step 5: price the exit
Ask what it costs and how long it takes to leave and take every record with you.
Step 6: check the claims
Verify any comparison in a vendor's ad against dated public sources and your own case; a "half the price" claim that is untrue for you is a warning sign.
Step 7: trial before you commit
Run a one-week trial on your own data and re-check the quote against what you used.
What does a worked example look like?
Take a school with 300 students and no live classes. Our published price is one flat ₹9,999 a year on the Growth plan, so the licence line is ₹9,999 before GST and ₹11,798.82 with GST, the same for any student count up to 400. Messaging is charged at cost + up to 10% handling, or 0% markup if the institute connects its own WhatsApp Business account, so the messaging line depends on volume and on the account route. Everything else (fees, attendance, exams and test series, apps, AI on free models, Tally export) is part of the price, with no add-on modules. Use this structure for every vendor, and put the number from each quote in the same table.
| Cost line | Vendor A | Vendor B | Vendor C |
|---|---|---|---|
| Licence for my student count (ex GST) | ₹____ | ₹____ | ₹____ |
| Extra modules and users | ₹____ | ₹____ | ₹____ |
| Messaging for my volume | ₹____ | ₹____ | ₹____ |
| Payment charges | ₹____ | ₹____ | ₹____ |
| Setup, migration, training (year one only) | ₹____ | ₹____ | ₹____ |
| GST | ₹____ | ₹____ | ₹____ |
| Year-one total | ₹____ | ₹____ | ₹____ |
| Year-three total with renewal rises | ₹____ | ₹____ | ₹____ |
| Cost and time to export everything and leave | ₹____ | ₹____ | ₹____ |
What should you watch for with flat-band pricing?
Flat bands can be good value for large schools, because the price does not rise with every student, and some flat-band products are cheaper than per-student pricing at larger sizes. Their weak points are bands that jump at an edge, limits on users or modules, and extra charges outside the band. Per-student pricing is easier for small institutes to predict but can grow quickly as you grow. We say plainly that flat-band products can be cheaper for large schools; where we try to win is on completeness, Hindi, offline use and no add-on charges.
What about messaging costs?
WhatsApp and SMS are often the biggest hidden cost. Ask for the per-message rate by category, whether it is passed through at cost, what markup applies, and whether you can connect your own WhatsApp Business account to avoid a markup. Compare vendors on a monthly messaging estimate for your own student count. Our guide to WhatsApp and SMS for schools shows a budgeting method.
How do coaching centres differ?
- Commission on fees. Some coaching platforms take a percentage of the fees collected. Ask if fees settle straight to your bank account with no commission.
- Input tax credit. Coaching centres can claim input tax credit on software subscriptions, so an 18% GST line is less of a cost than it looks. Confirm with your CA.
- Online-heavy centres. Live-class hours, recordings and storage matter; compare total cost with your actual live hours.
- Refund and compliance tools. Check whether refund calculation, timetable limits and registration printing are included.
How should vendors, including us, be judged?
Trust what is written and dated. Prices should be public, claims should be true for your case and comparisons should use public sources. We say what we are and publish our prices. Is per-student pricing better than flat pricing?
Neither always wins. Flat bands can be cheaper for large schools and per-student pricing is easier for small ones. Compare the total yearly cost for your own student count.
What hidden costs should I look for?
Messaging markup, extra users or modules, a branded parent app, migration and training fees, payment commission, renewal increases and data export charges.
Are ERP prices shown with GST?
It varies. Ask for the price with GST shown separately. Schools cannot claim input credit on it; coaching centres generally can, so confirm with your CA.
How do I compare messaging fairly?
Ask for the per-message rate by category, any markup, and whether you can connect your own WhatsApp Business account. Convert it into a monthly figure for your own student count.
