Fee-collection uplift is cash you were owed anyway: counting it assumes it would otherwise be lost or delayed. Set it to 0 if you prefer a stricter view.
Saved staff time is worth money only if you reduce overtime or hiring, or use the time for something valuable. A saved hour is not a saved rupee by itself.

This is arithmetic on your own assumptions, not a promise or a typical result. We do not know your institute; check each input.

How to estimate the payback of an ERP

  1. Enter your students

Fill the number of peak active students. The tool finds your plan and prices it from the current price book.

  2. Estimate the staff time saved

Enter the office hours saved each week across all staff and what that time costs you each month.

  3. Add messaging, fee collection and paper

Enter your monthly spend on SMS, calls and notices and how much you expect to save, the yearly fees billed and the extra share you expect to collect, and the printed sheets you expect to save.

  4. Read the payback and check each assumption

The result shows the payback in days, the net gain and where each rupee of savings comes from. Change any input and the answer updates.

How is the payback calculated?

Payback in days = yearly cost × 365 ÷ yearly savings, rounded up. The yearly cost is the flat yearly price of the plan for your student count from the price book, with GST included unless you can claim input credit on it. Coaching centres usually can; schools cannot. Savings are the sum of four lines you control.

The four savings lines
LineHow it is countedWhat to be careful about
Staff timeHours saved per week × 52 × monthly cost ÷ 208 working hoursCounts only if you reduce overtime or hiring, or use the time for something valuable
Messaging and callsMonthly spend × 12 × the share you expect to saveMessaging on Acavya is billed at cost plus up to 10% handling, or 0% markup if you connect your own WhatsApp Business account
Fee collectionFees billed in a year × the extra share collectedThis is money you were owed anyway; set it to 0 for a stricter view
PaperSheets saved per month × cost per sheet × 12Small, but easy to measure

Is this a promise of savings?

No. The tool does arithmetic on your inputs. We do not publish a typical saving because we have not measured one across institutes yet. The example numbers on the page are only there to show how the calculation works.

What does an ERP cost for 300 students?

For 300 students the Growth plan costs ₹9,999 a year before GST and ₹11,798.82 with GST, from the current price book, with every feature included. The tool recomputes this for your numbers.

Why does the tool ask whether we can claim GST credit?

Coaching centres usually charge GST on fees and can claim input credit on what they pay for software, so the real cost to them is the amount without GST. Schools with exempt fees cannot, so the cost with GST is the fair comparison. Check with your CA.

Does the calculator send my numbers anywhere?

No. The calculation runs in your browser. If you choose the optional walkthrough form, only the contact details you type there are sent.

What if the payback shows more than a year?

Then, on your inputs, one year of savings does not cover one year of cost. Check the assumptions, especially staff time and fee collection, or consider whether non-money benefits matter to you.
