How do you calculate a coaching fee refund?

Divide the fee by the total days or sessions of the course, multiply by the unused days or sessions, add hostel and mess on the same basis, and pay it within 10 days.

Quick answer: the Ministry of Education Guidelines 2024 and state coaching laws such as Rajasthan's 2025 Act describe a pro-rata refund within 10 days, including hostel and mess. The standard formula is: refund = fee paid × (unused days or sessions ÷ total days or sessions). Use the same basis for tuition, hostel and mess, then handle GST on the refund with your CA. A "non-refundable" clause in an old admission form should be ignored where the law overrides it. The examples below are illustrations, not legal advice, and your state law decides the exact basis, any permitted deduction and the clock.

What does pro-rata refund mean?

Pro-rata means the student pays only for the part of the course they actually used. If a course has 200 teaching days and the student leaves after 40, they used 40 of 200 days (20%) and 160 days (80%) were unused, so 80% of the fee is returned. The same logic works by sessions or classes when the course is sold by the class.

Examples use round numbers for clarity. Rounding to the rupee, partial months and what counts as a "used" day must follow your published policy and state law.

How do you count used and unused days?

  • Start of the clock: the course start date or the student's joining date, whichever your policy says. Write it on the receipt.
  • End of the clock: the date the student gives written notice or stops attending, again according to your policy. Do not backdate it to reduce a refund.
  • Teaching days versus calendar days: both are used in practice. Pick one in your prospectus and use it for every student.
  • Holidays and breaks: exclude centre holidays from teaching days if you count teaching days.
  • Mid-course fee increases: the guidelines say no fee increase during a course, so the refund base is the fee originally agreed.

What is the 10-day deadline and when does it start?

The guidelines and the Rajasthan Act text in our notes say the refund is to be paid within 10 days. Which event starts the 10 days (the written request, the last day of attendance or the exit form) is a point to confirm with your lawyer for your state. Practically, start the timer on the earliest of those events, show the due date on the refund voucher and pay before it. Late refunds are what parents complain about first.

How should GST and receipts be treated on a refund?

Coaching is taxable at 18%, and fees are usually collected before teaching, so the advance was probably covered by a GST receipt voucher. A refund then needs a refund voucher, and a credit note if a tax invoice was already issued; the tax portion is adjusted accordingly. This is unverified here: confirm the exact documents and timing with your CA. See GST on coaching vs school fees.

How do you process a refund step by step?

How to process a coaching fee refund

  1. Step 1: log the request

Record the date, the student, the batch and the reason, and start the 10-day timer.

  2. Step 2: confirm the dates

Fix the start date, the exit date and the total and unused days or sessions from the attendance register.

  3. Step 3: calculate each component

Compute tuition, hostel and mess separately using the same pro-rata basis, and deduct nothing that your law and published policy do not allow.

  4. Step 4: handle tax

Prepare the refund voucher or credit note with the GST split your CA confirms.

  5. Step 5: approve and pay

Get the second approver's sign-off, pay to the original bank account or UPI source, and record the transaction reference.

  6. Step 6: close the file

Cancel the student's dues, release the seat, update the audit trail and send the parent a written statement of the calculation.

What mistakes lead to complaints?

  • Quoting "non-refundable" on the form while the law requires a pro-rata refund.
  • Charging a cancellation fee that your published policy does not mention.
  • Refunding in cash without a voucher, so the file has no proof.
  • Missing the 10-day deadline because nobody owned the timer.
  • Ignoring hostel and mess, which the guidelines include in the refund.

Is there a calculator that does this?

Yes. Try the free coaching fee refund calculator for tuition, hostel and mess on a days or sessions basis. Acavya runs the refund calculator, the 10-day timer and the vouchers inside the fee module; see the coaching centres solution.

Can a coaching centre keep a registration fee after the student leaves?

Our notes describe no permitted deduction. Whether a non-refundable registration fee is allowed depends on your state law and what your published policy clearly states, so ask your lawyer before relying on it.

Is the refund calculated on fees paid or on the total course fee?

On the fee actually paid. If a student paid only the first instalment, the refund cannot exceed what was paid, and unused days are counted against the course the instalment covers.

How many days does the centre have to refund?

Within 10 days under the Ministry of Education Guidelines 2024 and the Rajasthan Act text in our notes. Confirm for your state which event starts the clock.

Is GST returned on a refund?

Normally the tax on the refunded amount is adjusted through a refund voucher or credit note. The exact process is for your CA to confirm.
