How to calculate a coaching fee refund
Choose the state and the size of the centre
Pick the state and enter the number of students. The rules apply above a student count, so a small centre may fall outside them.
Enter the course dates and the application date
Enter when the course starts and ends and the day the family applied for the refund in writing.
Enter fees charged and paid for each head
Fill tuition, hostel, mess, study material and deposit. Tick "non-refundable" where the admission terms say so; the tool shows when the law overrides it.
Read the refund, the deadline and the rules
The result shows the refund per head, the date by which it should be paid and which rule packs applied. Print or save the summary for your file.
How is the refund calculated?
For each fee head the tool works out the value of the course already used: fee × days used ÷ total days (or sessions held ÷ total sessions), rounded half up to the paisa. The refund is what was paid minus the value used, never below zero and never more than was paid. Hostel and mess are counted by days, using their own period if it differs from the course.

What does this calculator not do?
- It is not legal advice and it does not know your admission agreement. Where your state law differs, the state law wins.
- It subtracts no admission, registration or processing charge: the packs record no permitted deduction, so any deduction is for you to confirm.
- It does not model every state. If your state has no pack, only your centre’s own refund policy is used, and the page says so.
- Everything runs in your browser. The amounts and dates you type are not sent to us.
Within how many days must a coaching centre pay the refund?
The Ministry of Education Guidelines 2024 and the Rajasthan Act 2025 describe a pro-rata refund within 10 days of the application. The tool counts 10 calendar days from the application date and shows the date.
Can a "non-refundable" clause in the admission form stop the refund?
Where a rule requires a pro-rata refund, the tool ignores such a clause and says so. Whether a clause is valid in your state is a legal question: check with your lawyer.
Are hostel and mess fees refunded too?
The Ministry of Education Guidelines 2024 and the Rajasthan Act 2025 include hostel and mess in the pro-rata refund. The tool counts them by days from their own service period.
What if the family paid less than the value of the course used?
Then the refund is zero and the tool reports the shortfall only as information. It never demands the balance.
How is GST handled on a refund?
If the fee carried 18% GST, tick the GST option and the refund is split into taxable value and GST for a credit note. Confirm the treatment with your CA.
