How do I write an AI-use policy for my school or coaching centre?
Fill in your institute’s name and choose what students may do with AI by task and class group, and the tool writes a complete draft policy in English or Hindi that you can copy or print.

For example "the AI workspace provided by the institute". Leave blank for a general line.
What may students do with AI?
Start from the suggested answers and change any cell. Making images, voice or video of a real person is always "Not allowed".

Your policy
[Your institute name]: AI-Use Policy
Effective from 23-10-2026 · Next review by 23-10-2027 · Policy owner: Principal
Purpose
[Your institute name] wants learners to use artificial intelligence (AI) tools safely, honestly and in ways that help them learn. This policy says which uses are allowed, which must be disclosed and which are not allowed, so that students, staff and parents know the rules.
Marks, report-card remarks, admissions and discipline are decided by people, never by an AI tool alone.
Who this policy covers
- Students in these groups: Classes 1-5, Classes 6-8, Classes 9-10, Classes 11-12.
- All teachers, tutors and office staff.
- Parents and guardians, who are asked to support the rules at home.
What students may do with AI
The table shows, for each task, whether AI use is allowed, allowed only if the student discloses it, or not allowed. Where a teacher sets a stricter rule for a particular task, the teacher’s rule applies.
Approved AI tools: the AI tools the institute lists at the office or on its website
For the youngest group, students do not use AI tools on their own. Teachers may demonstrate AI in class.

What "disclose" means
- Write which AI tool you used, what you asked it, and what you changed or checked, at the end of the work.
- The work you submit must still show your own understanding. Be ready to explain it in your own words.
- If you are not sure whether a use is allowed, ask the teacher before you submit.
Rules that always apply
- Never create or share images, voice recordings or videos of a real person (a classmate, teacher or staff member) made or changed with AI. This includes jokes, and it is treated as a serious safety matter.
- Never enter your own or others’ personal details (full name with class, phone number, address, photograph, Aadhaar or other ID numbers, marks or health information) into a public AI tool.
- Never present AI-written work as your own where disclosure is required.
- Never use AI to pretend to be another person or to copy another student’s work.
Keeping assessments honest
- Important assessments are done in class without AI tools.
- Teachers may ask a student to explain submitted work orally (a short viva).
- Students keep drafts, notes or version history that show how the work was made.
- Tasks are set so that they use local, personal or class-specific material that AI cannot simply produce.
- An AI-detector score is never the only evidence used to accuse a student.
Responsibilities of teachers and staff
- Use only approved AI tools for institute work.
- Never enter student names, phone numbers, photographs, identifiable marks or health information into a public AI tool.
- Check every AI-made question, remark, message or summary before it is used: a person decides and is responsible.
- Tell students when AI helped prepare material.
- Explain this policy to each class at the start of the year or course.
Children’s data and privacy
- Personal data of children is used only for education and safety, as set out in the institute’s privacy notice.
- An AI feature that handles personal data needs a stated purpose and any notice or consent the law requires (for example under the Digital Personal Data Protection Act 2023). Confirm the details with your adviser.
- No profiling of children for marketing and no targeted advertising to children.
If this policy is not followed
- First time: a conversation with the teacher, the work is redone, and parents are informed.
- Second time: the work gets no marks, and the student and parents meet the coordinator or head of the institute.
- Repeated or serious misuse (for example fake images or voice of a person): handled under the institute’s disciplinary procedure, and reported to the authorities where the law requires.
For parents and guardians
- AI tools can be wrong or can make things up. Ask your child to check answers against the textbook or the teacher.
- Help your child not to share names, phone numbers, photographs or ID numbers with public AI tools.
- Be alert to fake videos and cloned-voice phone calls. Before acting on an unusual request for money or information, call back on a number you already know.
- Talk about these rules at home, and contact the institute if you have questions or if your child is targeted.

How to create an AI-use policy
Describe your institute
Enter the name, the kind of institute, who owns the policy, the date it starts and how often it is reviewed.
Pick the class groups
Choose the groups you teach, from Classes 1-5 to adult learners and droppers. The table below adjusts to match.
Set what is allowed, disclosed or banned
Start from the suggested answers and change any cell. Making images, voice or video of a real person is always not allowed.
Choose the sections and copy or print
Add or remove the integrity, privacy and parents sections, pick English or Hindi, then copy the text or print it as a PDF.
What does an AI-use policy cover?
- Purpose and scope: who the policy covers and why it exists.
- A task-by-task table: allowed, allowed if disclosed, or not allowed, for each class group.
- What "disclose" means: which tool, what you asked it and what you changed.
- Rules that always apply: no fake images, voice or video of real people, and no personal data in public AI tools.
- Assessments: in-class work, short vivas and drafts that show how the work was made.
- Staff duties, children’s data and a parent section.
- Consequences and a review date.
Are the suggested answers right for every school?
No. The suggestions are a cautious starting point: no independent AI use in Classes 1-5, disclosure in the middle years, more freedom for senior students, and no AI in tests and exams. Your board, your state rules and your teachers may reasonably decide differently, which is why every cell can be changed. The text is written from a fixed template, not by an AI model, so the same inputs always give the same policy.
Does my school need an AI policy?
Students already carry free AI tools on their phones. A short written policy tells students, teachers and parents what is expected and what is not, so that every teacher applies the same rules. Whether you must have one depends on your board and state: ask your board or authority.
What does "allowed if disclosed" mean for students?
The student may use AI for that task but must say which tool they used, what they asked and what they changed or checked. The work must still show their own understanding.
Can the policy be in Hindi?
Yes. Choose Hindi in the language box and the whole policy, including the table and the parent section, is written in Hindi. Ask a Hindi-speaking teacher to read it before you share it.
Does this tool use AI to write the policy?
No. It fills a fixed template with your choices, entirely in your browser. No AI tool is called and your inputs are not sent anywhere.
Why does the policy mention children’s data?
Students’ names, photos and marks are personal data, and the Digital Personal Data Protection Rules 2025 add duties for institutes that handle children’s data. The policy asks staff and students not to put such data into public AI tools. Confirm your own duties with your adviser.
