How does Acavya put parent communication on WhatsApp?
Acavya sends circulars, dues, payment links, receipts, absence alerts and results on WhatsApp in the parent language with quiet hours and a push, WhatsApp, SMS and email fallback chain, shows a cost estimate before a bulk send, and lets you use the platform number or your own WhatsApp Business account.

Who is it for, and what hurts today?
- Parent: over 100 WhatsApp messages a day, missed notices, a different app for each child and phone storage full. Acavya makes WhatsApp the main channel and the app optional and light.
- Class teacher: parent messages until 10 pm and a personal number given out. In-app chat has office hours and never exposes your number.
- Principal: a circular that parents never read. Read receipts and required acknowledgement show who has.
- Owner: a 9 pm WhatsApp digest of collection, dues, absentees and admissions so you do not have to ask.
What can it do?
- Available now: Categories (fees, attendance, homework, exam, transport, emergency, general), per-user channel preferences and language, quiet hours and a digest mode.
- Available now: A fallback chain of push, then WhatsApp, then SMS, then email, and a cost estimate before a bulk send that is debited from your wallet.
- Available now: WhatsApp utility and authentication templates per category with the template registry synced from the provider, a two-way inbox for the office with routing, and opt-in records. You can use the platform number or bring your own WhatsApp Business account.
- Available now: SMS with your DLT entity, headers and template IDs, validated variables and whitelisted short links. Until the DLT decision is made, SMS is used only for OTP and critical alerts.
- Available now: Circulars with audience targeting, attachments, read receipts and required acknowledgement, auto-translation with human approval and an audio version for low-literacy parents, sent as a link or a short video with a still image because WhatsApp templates cannot carry audio.
- Available now: Parent and teacher chat in the app only, with office hours, moderation, escalation and a retention policy; personal numbers are never shown.
- Available now: An events calendar with ICS feeds, a PTM scheduler with in-person or video slots, reminders and teacher notes, and consent forms and permission slips signed by OTP.
- Available now: Emergency broadcast for closures and weather that escalates to SMS, and the owner phone dashboard with an opt-in 9 pm WhatsApp digest.
- Available now: Hindi voice calls and IVR for reminders and absence calls, and alumni broadcasts.
- Available now: WhatsApp Flows for leave, PTM booking and consent, if approved; otherwise a link to the web form.
- Planned: A newsletter builder.
What does the AI do here, and who approves it?
- Parent message drafts in the parent language, and short summaries of long circulars; a person approves each message.
- A weekly summary in the home language, with an optional voice note, is the exception that can go without per-message approval: it is template-bound, data-only, opt-in for the institute, and 5 percent of summaries go to a spot-check queue. An Ask-about-my-child answer is limited to that child data.
- Read-aloud audio for circulars helps parents who do not read easily.
How does it work?
How does Acavya put parent communication on WhatsApp?
Choose channels and language
Parents set a language and the institute sets quiet hours and categories.
Draft and target
Write the circular or let AI draft it, choose the audience and see the cost estimate.
Send
Acavya tries push, then WhatsApp, then SMS, then email, skipping quiet hours.
Track
See delivery, read receipts and acknowledgements, and reply from the shared inbox.
Does it work in Hindi, offline and on WhatsApp?
- Hindi and English are supported everywhere, and an audio version can be sent as a link or a short video.
- Messaging is charged at cost + up to 10% handling, or 0% markup if the institute connects its own WhatsApp Business account.
- Unverified tenants have messaging caps, for example 200 a day, to prevent abuse.
- WhatsApp rules and rates change; our cost estimator is kept in line with the official Meta rate card once it is confirmed.
What can it not do?
- WhatsApp Business and DLT approvals take time and are outside our control; until they arrive, expect SMS only for OTP and critical alerts.
- WhatsApp templates cannot carry audio, so audio goes as a link or a short video.
- A promotional message needs consent and must respect DND; Acavya records consent but cannot make your marketing lawful for you.
- The app is optional and light; push is the primary channel only for parents who install it.
Can I use my own WhatsApp number?
Yes. You can connect your own WhatsApp Business account and then messaging carries 0% markup from us.
Will teachers see parent phone numbers?
No. Parent and teacher chat is in the app, and personal numbers are never exposed.
What does a bulk send cost?
Acavya shows a cost estimate before you send, based on category and your wallet. Messaging is charged at cost + up to 10% handling, or 0% markup if the institute connects its own WhatsApp Business account.
Does it work if a parent has no smartphone?
Yes. Messages fall back to SMS for critical alerts, and a Hindi voice call can be used once a voice provider is connected.
