How does Acavya run school exams from date sheet to report card?
Acavya sets up exams and date sheets, collects marks per subject even offline, locks them with an approval trail, computes grades from board rule packs and publishes bilingual report cards with QR verification, including two Class 10 exams and a CBSE LOC checking assistant.

Who is it for, and what hurts today?
- Exam cell: Excel macros, mismatches in name, date of birth and subject on the LOC, marks edits that no one logged and the same data retyped into portals.
- Subject teacher: marks entered in three places and 200 notebooks a week.
- Class teacher: 45 remarks to write each term.
- Principal: an unlogged marks change is a trust and legal problem, so every change after lock needs a reason and an approval.
What can it do?
- Available now: Exam types (unit or periodic test, half-yearly, pre-board, annual, practical, internal assessment), date sheets, seating plans that mix classes or roll ranges, an invigilation roster with a fairness cap and admit cards.
- Available now: An exam-security checklist per exam covering phones, smartwatches, AI glasses and paper custody.
- Available now: Marks entry per subject and teacher that works offline, with absence codes (AB, ML, exempt), validation against maximum marks and a lock after submission. A change after the lock needs a reason and an approval and is audited.
- Available now: A grading engine driven by rule packs: weightages, conversions, rounding, best-of and average rules, CBSE internal assessment and practical splits for Classes 9 to 12, co-scholastic grades, and grace and moderation with approval.
- Available now: Report cards: CBSE scholastic, the Holistic Progress Card and state formats, as bilingual PDFs with QR verification, published in bulk to parents through the app and WhatsApp.
- Available now: Result analysis by class, subject and teacher with distributions and at-risk lists, and promotion rules including state no-detention and re-exam variants for Classes 5 and 8.
- Available now: A CBSE registration and LOC assistant: subject-scheme validation, name, date-of-birth, APAAR and Aadhaar-match checks, fee calculation and an export in the portal format where one exists, otherwise a data sheet for guided entry.
- Available now: Two Class 10 board exams: track phase 1 and phase 2, improvement of up to 3 subjects, compartment and Essential Repeat, with best-of scores.
- Available now: Practical marks with an external-examiner record, pre-board analytics, transcript generation and board-result import.
What does the AI do here, and who approves it?
- Report-card remarks and HPC narratives are drafted from attendance, marks trend and the teacher observations, with a bias and tone check against stereotyped language. A teacher approves each one.
- Grading assist for handwritten answers reads a photo, applies your rubric and suggests marks and feedback. The teacher sets or approves the mark; Acavya never writes a mark by itself. Because it sends images, it never goes to a free tier that may train on inputs; it uses a provider that does not, or your own key, and it counts as an AI action inside your plan allowance.
- Class insights point to weak chapters and students who need help, and are shown as information only.
How does it work?
How does Acavya run school exams from date sheet to report card?
Set up the exam
Choose the type, build the date sheet, seating and invigilation roster, and print admit cards.
Enter and lock marks
Teachers enter marks per subject, offline if needed, then submit; the marks lock.
Compute
The grading engine applies your board rules; the exam cell reviews and handles grace by approval.
Publish
Generate bilingual report cards in bulk, with QR codes, and send them to parents. Our design target is 1,500 report cards in 10 minutes.
Does it work in Hindi, offline and on WhatsApp?
- Report cards print in Hindi and English with correct Devanagari, and state formats are added state by state.
- Marks entry works offline on a teacher phone and syncs later.
- Parents receive the published report card as a PDF on WhatsApp.
What can it not do?
- CBSE, UDISE+ and APAAR portals have no public API for private software, so Acavya exports the exact file or a checklist and your exam cell uploads it.
- Exam-day conduct and paper secrecy remain human duties; the checklist only helps.
- The skill-subject replacement rule still needs a CBSE rule-pack entry that a person has verified.
- External golden data (a teacher and a CA reviewing sample computations) is pending, so grading rules stay marked provisional until it arrives.
Can a teacher change marks after they are locked?
Only with a reason and an approval, and the change is audited. Without approval it creates an approval request instead.
Does Acavya support two Class 10 board exams?
Yes. It tracks both phases, improvement of up to 3 subjects, compartment and Essential Repeat, and takes the best-of score.
Can it upload to the CBSE portal?
No. There is no public API for private software, so it validates your data and produces the exact export or a guided data sheet.
Does AI set the marks?
No. AI can suggest marks from a photo and a rubric, and the teacher sets or approves the mark.
