Can Acavya build a school timetable and arrange substitutes automatically?
Acavya generates a draft timetable with a constraint solver, lets you drag and drop with live clash detection, and when a teacher is absent it suggests the best free teachers, assigns one in a click and notifies them on the app or WhatsApp.

Who is it for, and what hurts today?
- Vice-principal or coordinator: a proxy chart written on paper at 7:30 am and a timetable rebuilt from scratch when a teacher quits.
- Branch manager at a coaching centre: faculty who teach at several branches, rooms double-booked and a batch with too many hours in a day.
- Part-time teacher: two schools, fixed free days and a timetable that ignores them.
- Principal: unfair substitution load that causes quiet resentment.
What can it do?
- Available now: Inputs: bell schedules, teacher-subject-section mapping with periods per week, teacher availability including part-timers and multi-branch faculty, rooms and labs, and elective groups that span sections.
- Available now: Constraints: a maximum number of periods per day, no more than a set number of consecutive periods, and labs in double periods.
- Available now: A generator that uses a constraint solver (OR-Tools CP-SAT) to produce a draft, then manual drag and drop with clash detection, then publish.
- Available now: Coaching constraints: a faculty travel buffer between branches, batch daily hours capped by your rule pack (the rule-pack default is 5 hours), a weekly off, no test the day after the weekly off and no coaching during school hours for school-going batches.
- Available now: Substitution engine: when a teacher is absent from leave or attendance it suggests free teachers, scored for subject match, a weekly fairness cap and no back-to-back load; one click assigns it and the substitute is notified.
- Available now: Publishing to the app, to PDF and to ICS calendar feeds.
- Available now: Exam-period timetables, seasonal schedules that switch automatically and room booking.
What does the AI do here, and who approves it?
- The timetable and substitutes are solved by the solver, not by a language model. The AI only explains in plain words why a substitute was suggested, so the coordinator can accept or change it.
How does it work?
Can Acavya build a school timetable and arrange substitutes automatically?
Enter the facts
Add bell schedules, who teaches what, availability and rooms.
Generate
The solver proposes a draft, targeting zero hard-constraint violations; we test this on a 600-student demo school in under 2 minutes.
Adjust
Drag and drop; clashes show immediately. Then publish to staff and parents.
Substitute
When a teacher is absent, review the suggestions and assign one in a click.
Does it work in Hindi, offline and on WhatsApp?
- Substitute notices go to teachers on the app or on WhatsApp, in Hindi or English.
- Timetables are published as PDF for the staff room wall and as an ICS feed for phones.
- The generator runs on our servers, so it needs a connection; the published timetable can be viewed from the cached app.
What can it not do?
- A solver cannot fix an impossible input. If the constraints contradict each other it tells you which ones.
- It does not judge lesson quality; that stays with the coordinator.
- The generated timetable is a draft; the coordinator checks and adjusts it before it is published.
- Coaching rule-pack limits are set from rule packs marked unverified until a lawyer confirms them.
How long does generation take?
Our target for the 600-student demo school is under 2 minutes, with substitution suggestions in about 3 seconds. Your own data decides the real time.
Can I edit the generated timetable?
Yes. You can drag and drop periods and clashes are flagged immediately.
How are substitutes chosen?
By subject match, a weekly fairness cap and avoidance of consecutive load, with one-click assignment and a notification.
Does it work for coaching batches?
Yes. It handles faculty travel between branches, daily hour caps, weekly offs and the no-test-after-off rule from the rule pack.
