How do you calculate and enforce the 75% attendance rule?
Divide days present by working days held, multiply by 100, track the running figure and the projected year-end figure for every student, alert parents early and keep documents for any condonation request.

Quick answer: attendance percentage is days present ÷ working days held × 100. CBSE issued a strict-compliance circular on the 75% requirement in 2025 (our notes mark this as a single secondary source, so read the circular for your class). Schools should track not only the current percentage but the projected year-end percentage and the number of classes a student must still attend to reach 75%. Send parents alerts well before the threshold, record medical or other reasons with documents, and treat any condonation as a documented exception that follows your board's process. Never edit attendance to rescue a percentage: audit trails matter if a board or parent challenges it. A school that can show a dated, timestamped record of who marked what, and when, is in a far stronger position than one that corrected registers by hand at the end of the year.
What is the 75% attendance rule?
Boards and many institutions require students to attend at least 75% of the working days or classes to be eligible for the board or final examination. CBSE reiterated strict compliance in a 2025 circular. The exact working-day definition, the treatment of medical leave and the condonation limits come from the circular and the board's bye-laws, so read them for your class and affiliation. Coaching centres often set their own attendance rules for test series, scholarships or fee concessions; those are policy, not law, but should be written in the prospectus.
How do you calculate the percentage?
| What you need | Formula | Example |
|---|---|---|
| Current attendance % | Present days ÷ working days held × 100 | 84 present out of 120 held = 70% |
| Required present days for the year | Round up (75% × total working days of the year) | 75% of 220 days = 165 days |
| Allowed absences | Total working days − required present days | 220 − 165 = 55 days |
| Days still to attend | Required present days − present so far | 165 − 84 = 81 more days |
| Can the student still reach 75%? | Days still to attend ≤ remaining working days | 81 ≤ 100 remaining: yes, but 81% of the remaining days |
What is a projected year-end figure and why use it?
A student at 80% today may be heading for 70% by March if they miss every Monday. The projection assumes recent attendance continues, or uses the worst case of missing every remaining day, and shows when a student crosses the point of no return where even perfect attendance would not reach 75%. That is the number that tells a class teacher whom to call this week.
Which alerts should parents receive?
| Trigger | Message to parent | Message to teacher |
|---|---|---|
| Absent today | Short notice that the child was marked absent, with a reply option for the reason | None |
| Three consecutive days absent | Request for a reason and a call from the class teacher | Follow-up task |
| Attendance falls below 85% | Friendly warning with the current figure | Watch list |
| Attendance falls below 80% | Formal notice with days still needed | Call the parent |
| Projected below 75% | Meeting request and documentation checklist | Escalate to the principal |
| Below 75% | Shortage notice and condonation process | Principal decision with documents |
How should condonation requests be documented?
Condonation means the school and board accept a shortfall for a genuine reason. The limits and the authority are set by the board, so follow its circular. Whatever the rule, keep a clean file for every request: the parent's written application, the medical certificate or other proof, the dates covered, the principal's decision and the date, and the supporting attendance extract. Keep the condonation documents and a shortage report ready from the start, because boards and parents ask for them later.
- Parent submits an application with the reason and dates.
- Supporting documents are uploaded and checked (medical certificate, hospital record, bereavement, sports or competition participation letter).
- The class teacher confirms the attendance record.
- The principal approves or declines with a note; the decision is logged.
- The condonation file is stored with the student's record and attached to any board submission.
How do you run the 75% process through the year?
Managing the 75% attendance requirement during the year
Step 1: fix the calendar
Publish the number of working days for the session and the definition of a working day, half-day and late arrival.
Step 2: mark attendance daily
Teachers mark attendance on a phone in the first period, with an offline mode and a lock so past dates are not edited without approval.
Step 3: compute weekly
Generate a weekly shortage report with current %, projected % and days still needed.
Step 4: alert early
Send the ladder of messages to parents and tasks to teachers.
Step 5: collect documents
Record medical and other absences with documents as they happen, not at year-end.
Step 6: review before exam forms
Before registration or admit cards, review all students below 75% with the principal and decide condonation cases.
Step 7: file the record
Store the final eligibility list and condonation files for audit.
What about coaching centres?
Coaching centres have no board-wide 75% rule but often use attendance for test eligibility, scholarship retention or fee concessions. Whatever you use, put it in the prospectus before enrolment. Remember that state coaching laws limit teaching to 5 hours a day with a weekly off, so "mandatory extra classes" to repair attendance can break those limits. Read the coaching guidelines guide.
How does software help?
The attendance module of Acavya has an eligibility tracker, a projected year-end figure, a shortage report, condonation document storage and parent alerts on WhatsApp once WhatsApp is set up for your institute. Attendance works offline on a phone and syncs when the connection returns; see offline-first attendance and fee counters.
How do I calculate 75% attendance?
Divide days present by working days held and multiply by 100. For the year, 75% of the total working days gives the minimum days a student must be present.
Can a school condone attendance shortage?
Only within the board's rules and with documents. Read the circular for your class to see the authority and limits, and never change attendance records to hide a shortfall.
Does the 75% rule apply to coaching centres?
There is no board-wide rule for coaching centres, but they may set their own policy for test eligibility or concessions, which should be written in the prospectus.
What if a student was ill for a long time?
Record the dates and attach medical documents at the time. Then apply for condonation under your board's process.
